Passenger Assistant Terms and Conditions
By accepting the role of Passenger Assistant with Radcliffe Taxis, all individuals acknowledge and agree to adhere to the following terms and conditions. These policies are legally binding and are intended to protect both the passenger assistant and Radcliffe Taxis.
1. Role and Responsibilities
1.1 Duty of Care:
The primary responsibility of a Passenger Assistant is to ensure the safety, comfort, and well-being of all passengers, particularly children, elderly individuals, and vulnerable adults, during transportation. This includes assisting passengers during pick-up, journey, and drop-off.
1.2 Supervision of Passengers:
Passenger Assistants are required to supervise passengers at all times during the journey. Under no circumstances should a passenger be left unattended in the vehicle or at pick-up/drop-off points until handed over to an authorised individual (e.g., a parent, teacher, or carer).
1.3 Assisting with Embarking and Disembarking:
The Passenger Assistant must assist passengers when getting into and out of the vehicle, especially if the passenger has mobility issues, is a young child, or is otherwise vulnerable. Assistance includes securing passengers in appropriate restraints (e.g., seat belts, child seats).
1.4 Communication with Passengers:
The Passenger Assistant must maintain polite, respectful, and professional communication with passengers at all times. Any issues, concerns, or requests from passengers should be addressed calmly and appropriately, with safety as the priority.
2. Safeguarding Responsibilities
2.1 Adherence to Safeguarding Laws:
Passenger Assistants must comply with all applicable safeguarding laws and regulations concerning the protection of children and vulnerable adults, including but not limited to the Children Act 1989 and subsequent amendments.
2.2 Enhanced DBS Check:
Before commencing their role, Passenger Assistants must obtain and provide Radcliffe Taxis with a valid Enhanced Disclosure and Barring Service (DBS) certificate. This certificate must be renewed as required, and any changes to the assistant’s criminal record must be reported immediately.
2.3 Prohibited Conduct:
Passenger Assistants must not engage in any form of inappropriate behaviour towards passengers, including but not limited to:
– Unnecessary physical contact.
– Verbal abuse, derogatory remarks, or inappropriate language.
– Harassment, bullying, or any form of exploitation.
– Administering medication or medical treatments unless specifically authorised and trained.
2.4 Mandatory Safeguarding Training:
Passenger Assistants are required to complete mandatory safeguarding training provided or recommended by Radcliffe Taxis. This training must be kept up to date to ensure all staff are aware of their responsibilities in protecting vulnerable individuals.
2.5 Reporting Safeguarding Concerns:
Any safeguarding concerns, incidents, or allegations of abuse must be reported immediately to Radcliffe Taxis and the relevant authorities. Failure to report such incidents is a serious breach of this policy and may result in disciplinary action or legal consequences.
3. Health and Safety
3.1 Passenger Safety:
Passenger Assistants must ensure that all safety restraints, such as seat belts and child seats, are used correctly for all passengers. They must check that all passengers are securely fastened before the vehicle commences the journey.
3.2 Emergency Procedures:
In the event of an emergency, Passenger Assistants are responsible for ensuring the safety of all passengers, following the vehicle driver’s instructions, and assisting passengers to evacuate the vehicle if necessary. Passenger Assistants should be familiar with the location and use of safety equipment in the vehicle.
3.3 First Aid and Medical Needs:
Passenger Assistants should be aware of any specific medical needs of passengers and be prepared to respond in case of emergencies. While Passenger Assistants are not expected to provide medical treatment, they should know how to seek emergency medical assistance and inform the driver of any concerns.
4. Conduct and Behaviour
4.1 Professionalism:
Passenger Assistants must maintain a high standard of professionalism at all times. This includes wearing appropriate attire, being punctual, and treating all passengers with dignity and respect.
4.2 Confidentiality:
Passenger Assistants must respect the confidentiality of all personal, medical, and sensitive information regarding passengers. This information should only be shared with authorised personnel when necessary for the safety and well-being of the passenger.
4.3 Conflict Resolution:
If any conflicts or issues arise during the journey (e.g., disputes between passengers), the Passenger Assistant must handle the situation calmly and professionally. In the event of a serious issue, they must inform the driver and report the matter to Radcliffe Taxis immediately.
4.4 No Representation Authority:
Passenger Assistants are not authorised to make representations, agreements, or commitments on behalf of Radcliffe Taxis with any third parties, including passengers, parents, or institutions.
5. Compliance and Legal Obligations
5.1 Adherence to Laws:
Passenger Assistants must comply with all relevant local, regional, and national laws and regulations, including road safety laws and safeguarding regulations.
5.2 Company Policies:
Passenger Assistants must adhere to all company policies and procedures, including any updates communicated by Radcliffe Taxis. Regular updates or briefings will be provided to ensure all staff are aware of current requirements.
6. Termination of Services
6.1 Termination by Radcliffe Taxis:
Radcliffe Taxis reserves the right to terminate the Passenger Assistant’s services with immediate effect if there is a breach of these terms, misconduct, negligence, or any behaviour that endangers the safety of passengers or the public.
6.2 Termination by Passenger Assistant:
Passenger Assistants may resign from their role by providing written notice to Radcliffe Taxis. The assistant must fulfil any outstanding obligations before the resignation takes effect.
6.3 Return of Company Property:
Upon termination of services, Passenger Assistants must return all property belonging to Radcliffe Taxis, including identification badges, uniforms, and any confidential information or documents.
7. General Provisions
7.1 Confidentiality:
Passenger Assistants agree to keep confidential all information regarding Radcliffe Taxis’ business operations, clients, and any other sensitive information obtained during the course of their duties.
7.2 Data Protection:
Passenger Assistants must comply with all data protection laws, including the General Data Protection Regulation (GDPR), when handling personal data of passengers or any other individuals.
7.3 Amendments:
Radcliffe Taxis reserves the right to amend this policy at any time. Passenger Assistants will be notified of any changes, and their continued provision of services constitutes acceptance of the new terms.
